One of the most important fundraisers we do each year is working the concessions stand at football and soccer games. These games are crucial to putting the band on the field and last year raised about $14,000. The goal of this letter is to inform you of some of the new procedures taking place and to generate some help in working the numerous games throughout the season. Robb met with the Coke people about setting up delivery on the Coke coolers and we discussed some new products. He is in need of a parent who wants to be in charge of Coke for the concession season. If you want to be in charge of Coke products for the band please email Rduddey@fuse.net. Mr. Loomis has volunteered to order the food for the concession stands, however we still need someone to coordinate the sign ups for all games, Varsity, JV, and Freshmen football, and all soccer games. The lists have already been started but will need to be revisited and updated. We need tons of parent support on the games as this is our largest fundraiser and we cannot afford to loose the stands to other organizations within Dixie. One quick note about concessions, the new athletic director is pretty adamant about keeping the stadium clean. Unfortunately this is the band's responsibility and I am just asking that if you work a concession game to please help him clean the stands after the games and empty the trash. We had a lot of help this evening and it went very fast. The soccer games are usually slow enough to start on the trash before the game is actually over. VARSITY FOOTBALL GAMES These games are extremely busy and we have had a great turnout of parent volunteers. To streamline the games we are creating a set amount of people to man each booth. We will never turn away help, but sometimes there is not enough room for everyone. Attached is one sign-up sheet per varsity games. If you are interested in helping out, please sign up to work. This year we are also doing something a little bit different….we are having a set-up crew that will arrive at 4:30pm before a game starts to prepare for the game. All other workers will arrive at 6pm. If there are enough people to work the game, the set-up crew is free to leave. We use both concession stands and offer our full menu of products. Do not feel intimidated if you have never worked before, there will be someone to help you and even though it is work, it is also fun. At the end of varsity games the band students and parent volunteers help in cleaning up the stadium. If everyone pitches in this might last 30 minutes past the end of the game. SOCCER & JV/ FRESHMAN FOOTBALL GAMES While the varsity football games require the most amount of help, we also work during soccer games and JV and freshman football games. The money raised at these numerous events really adds up and it is vital to keeping the concession stands in the band’s control. The goal of each of these games is to have about 3 workers running the stands. The menu during these games is very limited and we only use the Upper Stand (the one next to the bleachers). These games do not draw huge crowds, but enough to make it worth running the booth. The following steps have been done to make working these games a little less intimidating. CONCESSION STAND LEADS We now have four parents who are in charge of the money for the games. Each week, the concession stand leaders will be in charge of delivering the “till” money before each game. They will also be collecting the money at the end to count. The lead will be “on-call” should there be any questions or situations that occur during the game. This allows for you to work, and not worry about what to do with the money or having the responsibility for the money. PROCEDURE BINDER In order for workers to feel more comfortable with running the concession stand, we are currently creating a binder of procedures for you to use as you set-up for the game and begin to run the booth. This binder will be located in the Upper Stand and will be divided into what type of game you are working (ex. Soccer games). When you arrive you will use the binder as a checklist for what needs to be turn on, warmed up, prepared, etc. The binder will have build-to lists that should give you a rough estimate on what to make for the games. New signs will also be posted in the stand showing procedures for making certain food items, such as soft pretzels, etc. We are really in need of a lot of support in this area. Attached is a list of the soccer games and the JV/ Freshman football games. There are a ton of games, but if each family gives a little time, no one family or individuals will have to burden the full load of this task. We hope that the new concession stand leads and the procedures will help make you feel more comfortable controlling the stand. I can not stress enough how important it is for the band to do a great job with the concession stands. We are lucky at Dixie that the band has been in control of the stands since they were built. Many organizations within the school would love to reap the benefits of concessions, but it is too important to what we do to lose. The support of the parents in this organization is very positive and we have had a tremendous amount of new parents digging their heels in and helping with fundraising. Please look over the attached sheets and see if there are a few games you would be willing to work and sign-up. Turn the sheets back into myself (Mr. Duddey) and I will create the master work list. If we have too many people signed-up (and that would be awesome) I will do my best to cut people off the list. You may also email me at rduddey@fuse.net any days you would like to help. To make this easier for you as well, once the final list of workers is created we will let you know what days you are working. We will also use the Band Calendar to list which family is working on a particular night. For example, if the Coons family is scheduled to work on August 15th, “Coons” will be placed on the calendar for reference. Students are also allowed to work the stand, when there are not practices. A few games that will be critical are the games that take place on days of band competitions. The website calendar will have all of this listed. I know this is a lot of information and may seem overwhelming, however together we will make this concession season a success. I appreciate the work you put into this organization and I am 100% aware that this would not be possible without the support of the parents and friends of the band.
